To  create an email list are different ways: lead magnets, website opt-in forms, quiz, etc. Buying email lists can result in unhappy recipients who are not familiar with your brand and can negatively impact email deliverability. Building your own email list ensures that you have engaged and interested recipients who are more likely to convert.

When is the time to start sending email campaigns?

It is recommended to have an email list of at least 2,000 subscribers before starting to send email campaigns to ensure cost-effectiveness.

Additionally, it’s important to have a clear understanding of your email marketing goals and target audience before you start sending campaigns. For instance, email deliverability refers to the placement of an email after it is successfully delivered to the recipient’s mail server. Before you send the campaign, be sure that your email deliverability is on a good track.

Which timezone are you working on?

We’re working in the Eastern Europe timezone and our working hours allow us to cover USA, Canada (EST, PST), and Australia time (AEST). 

 

However, if you need us to extend our working hours to accommodate your business needs, we’re happy to discuss it and find a suitable solution to make our email marketing collaboration more efficient.

Do you work over weekends?

Our team values taking time off on weekends to spend time with families, recharge and come back to work refreshed. However, we understand that urgent projects may arise, and we are willing to discuss and accommodate any necessary deadlines.

Are you providing weekly calls and how looks your general communication process?

Yes, we provide weekly calls as well as additional calls upon request. Our general communication process takes place in a Slack channel, and we can also use Skype, WhatsApp, or Telegram per request. 

 

Your dedicated account manager will provide a monthly calendar of tasks, including email campaigns and flows, and email marketing tasks such as email deliverability, segmentation, testing, etc. 

 

Each week, your account manager will send you a plan for the upcoming week, general updates, and a summary of the week’s progress. We also offer daily communication to ensure smooth collaboration and quick turnaround.

Please note that the specific communication process can be customized to meet your business needs and preferences.

How should I be involved in communication with you?

We believe that good collaboration between our team and yours is essential to achieving successful email marketing results. To facilitate this, we ask for quick and efficient communication from your end.

 

Depending on your availability and preferences, we offer two levels of involvement:

  1. Limited involvement:

If you have limited time to be deeply involved in the communication process, you can trust us to handle most of the work. We will involve you in vital approvals such as offers, conditions, and strategy in general.

 

  1. Full involvement:

If you prefer to be fully involved in the process, we welcome your participation. In this case, we ask that you provide us with quick and efficient communication to avoid delays and ensure smooth progress.

What is included in the Basic setup?

The basic setup includes various aspects of email marketing, such as onboarding: ESP evaluation, migration, strategy creation & implementation, basic integration, email deliverability, list cleaning, audience segmentation, opt-in management, copy & template production, etc. and basic lifecycle flows. 

These components are important for email marketing and ultimately increasing conversions and ROI. The basic lifecycle flows setup covers the vital stages of their lifecycle journey from welcome series and pop-ups to post-purchase and bounce-back emails. The full basic setup takes 3 months.

What’s included in the basic lifecycle flows setup?

The basic lifecycle flows are crafted flows that cover all the the vital stages of their lifecycle journey. These flows help convert website traffic into loyal customers and are included in every plan.

What’s included in the Advanced flows?

At our agency, we offer advanced flows as part of our ongoing email marketing services for existing clients. These additional flows are designed to enhance your email marketing strategy and leverage your technology stack to further drive results.

 

Our advanced flows include custom flows that are tailored to your specific business needs. For example, if you have a loyalty or product review program, we can create 2-5 flows that will help improve the performance of that programs.

 

In addition to creating new flows, we also update and iterate on existing flows to ensure that they are optimized for maximum performance and are highly personalized for different segments of your audience. For instance, Abandoned cart flow (started checkout) will have an advanced conditions based on customer lifecycle, AOV, location, product preferences, etc. So, one person will get a differen emails each time with higher personalization.

With our advanced flows, you can rest assured that your email marketing strategy is always up-to-date and delivering the best results possible.

How long does it take for you to go live with the flows?

We offer two options for going live with flows, depending on your preferences:

  1. Quick and Incremental: This option involves gradually rolling out flows in small pieces over a period when they”re ready of up to 6 weeks. Initially, we will go live with 1-3 emails for each flow, and the remaining emails will be developed over a period of up to 12 weeks. This approach has the advantage of quickly generating sales and covering all segments of your audience.
  2. All-at-Once: This option involves turning on all flows at the same time and takes up to 12 weeks to complete. This option is ideal for clients who already have flows in place and want to improve the results.

 

We work closely with our clients to determine which option is best suited for their business needs and goals. Our goal is to ensure a smooth and seamless transition to our new flows while delivering the best possible results for your email marketing strategy.

What is an email campaign?

A campaign is a completed email that is ready to be sent to your customers. It has been strategically planned, with the copy written and the design completed. 

 

Essentially, one campaign equals one email. However, to test and improve personalization, we send the same campaign to different segments with minor but significant changes such as congratulations, offers, expiration, etc. This allows us to gather more details and statistics.

When do you start campaign management?

Our onboarding process takes approximately two weeks, and to start from the third week we’re ready to deploy campaign management.

If I need extra campaigns in the current month, how much do you charge?

Please inform your account manager and we will start crafting the campaign in advance and charge per extra campaign based on your package. If you frequently require extra campaigns, we suggest upgrading your account to ensure that our team can devote the necessary time to meet your brand’s needs.

Do you offer revisions?

We’re happy to offer up to three revisions for your copywriting and two for design. Any bug fixes or minor tweaks needed will be handled at no extra cost. However, if there are major changes or additions required, we will provide you with a separate quote for those. Our goal is to ensure that you’re fully satisfied with our work and that your email campaigns are successful.

When will we get reports about the monthly progress and results?

Each week, the account manager provides regular updates about planning, progress, and a summary. After the first month, a dedicated team prepares a summary report that is delivered around the 5th of each month with the prior month’s statistics and data.

When does the project start?

As an organized team, we plan our months in advance, and a new project typically begins 7-10 days after signing a contract. 

The pre-onboarding process starts immediately after your confirmation that you’re ready to move forward with IMPRO Email team. So, your account manager immediately prepares a questionnaire with up to 50 questions to gain a better understanding of your business, brand, product, target audience, tone of voice, design preferences, and any specific requests you may have.

Who will work on my project?

We assign a dedicated team consisting of an experienced account manager, a data-driven team lead, a professional email & graphic designer, a dedicated copywriter, and an email marketing technician. 

Together, they develop and implement a personalized email & SMS marketing strategy for your brand. The account manager ensures timely delivery and updates, the strategist ensures the email marketing strategy is on track, the designer creates an eye-catching design, the copywriter personalizes content for your audience, and the email marketing technician optimizes your results.

How does monthly progress look?

The monthly progress plan for our email marketing services is designed to ensure that our clients receive the best possible results from email marketing. During the first month, our focus is on setting up the account and developing a tailored strategy. This involves optimizing email deliverability, copy & template production, cleaning and validating the data, segmenting the audience, and preparing content and assets for flows & campaigns. We work closely with our clients to gain a deep understanding of their business, target audience, and email marketing goals.

 

During the second and third months, we shift our focus to creating and executing effective email marketing campaigns and flows. Our team of experts in email copywriting, design, and technical configuration works together to develop a series of email sequences that are triggered by specific user behaviors or events. We also create and send standalone email campaigns based on a calendar of campaigns (Pro package includes campaign management from the third week).

 

As we progress into the fourth month and beyond, we strategically optimize our email marketing flows and campaigns to achieve even better results. We analyze data, test and tweak campaigns, and incorporate new tactics to continuously improve the email marketing strategy. Our ultimate goal is to help our clients achieve their business goals through email marketing.

 

We believe that long-term email marketing projects yield the best results, and we are committed to working closely with our clients throughout the process to ensure their satisfaction and success. With our monthly progress plan, our clients can be confident that their email marketing strategy is always up-to-date and delivering the best results possible.

Does IMPRO Email Agency have a minimum time commitment for the email marketing services?

At IMPRO Email Agency, we recommend a minimum contract of 3 months for our email marketing services. We believe that email marketing is a long-term and effective process that requires sufficient time to understand your brand guidelines and create a personalized email marketing strategy. Our onboarding process takes approximately two weeks, and we’ll need an additional 10 weeks to set everything up and start generating results. We are committed to dedicating the necessary time and effort to create emails that both you and your customers will love.

Can I opt-out of my agreement?

Yes, if you decide to opt out of our agreement, please notify your account manager no later than 30 days before your next billing date. Please note that payments are set up for automatic billing in our system.

When do I pay you (fixed and monthly)?

For fixed projects, we require a 50% down payment before we start our work. The final invoice for the remaining 50% will be sent to you after the project is complete.

 

For monthly services, we will invoice you in advance for the services that will be performed during the next 30 (or 31) days.

How can I pay?

At IMPRO, we offer several payment options to make the payment process as easy and convenient as possible for our clients. We have local bank accounts for transfers in the United States, Australia, Canada, the European Union, the United Kingdom, the United Arab Emirates, Japan, and Singapore. We also accept payments through PayPal, Wire transfers, and all major credit cards.

Do you offer discounts?

At IMPRO, we understand that each project is unique and we offer discounts only for projects that are 12 months or longer in duration. The discounts are based on the complexity of the project and your account capabilities.

Do you work in a white label?

IMPRO does not offer white-label services. Instead, we prefer to be your co-partner on your project, maintaining direct communication with your clients. We believe in transparent and open communication, which is crucial for a successful partnership. You can trust that we will not reach out to your clients directly, and we guarantee that we will not pursue them.

Do you publish my project on your SMN and website?

At IMPRO, we respect the confidentiality of our clients and their projects. We will never publish any content related to your project without obtaining your permission beforehand, in compliance with our privacy policy.

Do you sign an NDA?

Yes, we understand the importance of confidentiality and are willing to sign a Non-Disclosure Agreement (NDA) to ensure that your information and project details remain secure. Please send us the NDA, and we will review and sign it promptly. Our commitment to privacy is a top priority, and we take every precaution necessary to protect our clients’ sensitive information.
